JOB TITLE: Client Operations Specialist
DEPARTMENT: Client Operations

Job Summary

The Client Operations Specialist is responsible for supporting the Client Operations team in a variety of technical and administrative duties. The Client Operations Specialist will effectively assess department needs, respond to inquiries, and ensure proper resolution of any issues or concerns in a timely manner and support the Client Operations and Sales team.

Northwest operates on a 24/7/365 basis; individual may be required to work various shifts, including nights, weekends, and holidays.  Schedule flexibility with and without advanced notice is required.

Essential Duties/Responsibilities

  • Act as the primary point-of-contact for incoming phone/e-mail inquiries and communications to the Client Operations department, and directs these communications as needed.
  • Coordinate timely and accurate communication between Operations and other NWP/NWL departments.
  • Works with Client Operations and Sales department to respond consistently and professionally to client inquiries, complaints and problems associated with the delivery of Northwest Pathology’s services.
  • In conjunction with the Client Account Coordinator, responsible for client implementation, data entry & integrity, maintenance, support and administration of various sales technical systems, which includes, but is not limited to, the following:  HC1 and CareEvolve.
  • Responsible for client set-up, data entry & integrity, maintenance, support and administration of SpectraPath which includes, but is not limited to, the following:
    • Coordinate with Courier Services Manager and/or Courier Services Lead to update pick-up/delivery jobs.
    • Identify pick-up & delivery information in response to internal and external inquiries.
  • Proactively contributes to integration of client operations procedures/processes to ensure accuracy, compliance and efficiency.
  • Develop and distribute end user training resources for various sales technical systems, which includes, but is not limited to, the following:  HC1, CareEvolve and SpectraPath.
  • Schedules and coordinates meetings, conferences, and other events as needed in support of the Client Operations and Sales departments.
  • Knowledge share and cross train across department team to ensure business continuity and client support during peak times and gaps in coverage. 
  • As directed, attends training, seminars, company and/or client events

Education/Certification/License

  • High School Diploma or equivalent required; college degree is a plus
  • Active and valid US State-Issued Driver’s License Driver’s License with acceptable motor vehicle record as defined and approved by NWP-NWL vehicle insurance carrier.

Experience

  • Minimum 2 years of experience required:
    • Professional office setting in an administrative and/or operations support role. 
    • High demand, fast paced, exceptional client focused operations environment providing an understanding of company services, and policies across multiple States.
  • Minimum 1 year of experience required:  client database system administration
  • Laboratory and/or healthcare environment experience is a plus.

JOB TITLE: Clinical Processing Technician 1
DEPARTMENT: Clinical Laboratory

Job Summary

The Clinical Processing Technician will coordinate and perform tasks and activities in the Specimen Processing department of the Clinical Laboratory. Each day a certain Clinical Processing Technician will be assigned specific areas of responsibility within the scope of the job as outlined. Depending upon the area of responsibility the Clinical Processing Technician will monitor the status of the workflow of the tasks involved and shall prioritize each task, coordinate performance of tasks by other techs and report frequently and directly to the Laboratory Assistant Supervisor about completion of tasks. While this position works primarily within the Clinical Processing department, staffing needs may require this person to assist in other areas of the Clinical Laboratory, including Phlebotomy and front desk operations.

Essential Duties/Responsibilities

Specimen Processing:

  • Maintains that all aspects of processing and handling of all specimens referred out (routine and esoteric) are carried out in an accurate, efficient, and timely manner
  • Researches specimen requirements for reference labs and arranges for critical specimen handling and complex transportation arrangements when needed
  • Refers to appropriate policy and procedure manuals as necessary and communicates with reference labs for proper specimen requirements
  • Under the supervision and direction of a medical technologist performs test processing in certain areas of the clinical lab which may or may not include the following:
    • Various duties in microbiology which may include routine culture setup, preparation of samples for Ova and Parasite studies, setting up MIC’s, logging patient demographics into computer
    • Logging and distribution of patient test specimens from the processing areas in the lab to the respective test areas
    • Point of Care and waived testing, as required.Keeps the Lab Assistant Supervisor informed of the malfunctioning of any lab equipment
  • Keeps the Lab Assistant Supervisor informed of the malfunctioning of any lab equipment
  • Processes all laboratory test requisitions and specimens quickly, efficiently, and appropriately
  • Assists other laboratory personnel as workload permits without being requested to do so
  • Consistently determines proper priorities when organizing daily tasks and is able to adjust schedule in view of STAT’s

Phlebotomy: 

  • Inspires confidence from patients and visitors by performing and communicating in a professional manner
  • Is able to perform phlebotomy and collection of specimens from all ages of patients
  • Ensures that orders for blood draws are routed in order of priority as received.
  • Prepares laboratory test requisitions for outpatients from physician orders using laboratory information system (accessioning duties will fall under all departments).
  • Maintains competencies in phlebotomy procedures and specimen requirements
  • Helps ensure that all new phlebotomists are adequately oriented and that training is documented for the tasks required
  • Monitors integrity of patient specimen collection processes and reports any abnormalities to Lab Assistant Supervisor
  • Maintains that phlebotomy supplies are adequately stocked and that all facility areas are in proper condition with regard to equipment and cleanliness
  • Shares appropriate communication with other laboratory personnel involving difficult Venipuncture, timed specimens, tasks at hand, etc.
  • Enforces and follows all laboratory safety rules, chemical safety hazards, and reports any possible hazards to the Lab Assistant Supervisor

Education/Certification/License

  • High School Diploma or equivalent required; college degree is a plus  
  • Medical Assistant Phlebotomy (MA-P) certification/license
  • Active and valid Washington State Driver’s License; acceptable driving record history with Motor Vehicle division.

Experience

  • Minimum 1 year of lab experience required

The Cytology Manager is responsible for running the day-to-day management/oversight cytology department operations. The manager oversees, plans, coordinates and directs the daily routine activities of the cytology department, the detection of cancer and other pathologic changes within cytological specimens, the evaluation of professional competency of employees, quality assurance and quality control activities, compliance with regulatory requirements, risk management, and staff coordination so that the department functions efficiently to meet regulatory, quality and customer expectations.

  • Manage a low-mid volume Gyn & NonGyn Cytology Department analyzing specimens with the most updated equipment available.

  • Ensure staff cytotechnologists adhere to state and CLIA regulations and document on a daily basis, the total number of slides examined in each 24-hour period, including slides examined at other laboratories, and the number of hours spent examining slides in each 24-hour period.
  • Evaluate departmental quality assurance data, including monthly, quarterly and biannual cytotechnologist performance statistics, cytology-histology correlation review and analysis, five-year retrospective review and analysis, and other QA review/analysis. Develop corrective action plans as needed.
  • Collaborate with the Anatomic Pathology Manager and Laboratory Supervisors to write and/or update laboratory SOPs.
  • Maintain CAP and CLIA inspection readiness.
  • Be accessible to provide on-site, telephone or electronic consultation to resolve technical problems in accordance with established policies/procedures.
  • Oversee cytology-based telepathology services provided by NWP
  • As business needs dictate and/or as directed by Chief Operating Officer:
    • Examine cytology specimens for the presence of abnormal cellular changes and pathogens
    • Document slide interpretations within the laboratory’s LIS to report results
    • Report out and release negative gynecological cases
    • Submit cases for pathologist review as appropriate 
    • Rescreen slides selected for quality control review, following standard protocol for reporting out and releasing gynecological cases 
    • Document the total number of slides screened/examined/reviewed in the laboratory for each 24-hour period 
    • Document the number of hours spent examining slides in each 24-hour period
  • Review follow-up clinical information and biopsy correlation when available
  • Maintain department facilities in neat and professional order
  • Responsible for monitoring the maintenance of all laboratory equipment as it applies to cytology and to ensure proper follow through when equipment problems arise
  • Participate in continuing education in areas related to Cytology, by keeping abreast of the latest literature and changing technology, attendance at meetings, and consultation with the cytology technical supervisor. Records and supporting documentation of all continuing education must be maintained.
  • Prepare continuing education and training for the cytology department
  • Update current written procedures or write new procedures as necessary
  • As needed, prepare, stain and coverslip GYN and Non-GYN specimens
  • Cytology-histology correlation (CHC) review and analysis
  • Oversee and document validation studies for new techniques and procedures
  • Visit clients and/or participate with in-service training
  • Participate as a CAP inspector at other facilities
  • Research projects at the direction of the medical director/technical supervisor
  • Maintain the qualifications required for a cytology general supervisor per current CAP guidelines

Job Summary

The Cytotechnologist accurately screens liquid base, conventional and non-gynecological slides. This position is responsible for screening and reporting cytology specimens in a timely and accurate manner.

  • Performs primary screening of Gynecological and Non-gynecological samples. Renders interpretation and appropriate comments in accordance with established department reporting procedures. 
  • Performs Quality Control screening. 
  • Maintains daily record of slides screened/hours worked at Northwest Pathology and slides screened/hours worked at any other outside employer per procedure manual.
  • Maintains open communication with department supervisor, pathologist, and co-workers to ensure optimal operation of the department. 
  • Provides technical consultation for Cyto-processing technicians, assists in prep work when directed by Supervisor. 
  • Maintains high level of proficiency and current knowledge through continuing education.

Education/Certification/License

  • High School Diploma or equivalent required; college degree is a plus.

Experience

  • Minimum six (6) months of experience required:
    • High volume professional filing within a medical setting
    • Professional administrative/office support

  • Selects appropriate positive controls and demonstrates proficiency in performing Special Stains and the preparation of reagent and staining solutions. 
  • Utilizes Laboratory Information System to generate work lists, labels and to order tests as required. 
  • Performs Quality control by documenting the results of positive and negative control results. 
  • Gross small surgical specimens as needed. 
  • Performs instrument maintenance and records temperatures. 
  • Effectively provides job related training to team members within AP lab.  Serve as team member resource to answer questions/problem-solve, provide support and guidance in order to ensure individuals are able to complete tasks accurately, efficiently and timely.
  • Supports in developing, standardizing, evaluating, and modifying procedures and techniques used in the Histology laboratory.
  • Organizes daily blocks for cutting and long-term storage. 
  • Complies with established departmental policies, procedures, objectives, cleanliness, quality assurance, safety and infection control 
  • Assist others to complete tasks and work assignments.

  • HT or HTL (ASCP) certified, registry eligible or relevant experience preferred
  • Active and valid US State-Issued Driver’s License Driver’s License with acceptable motor vehicle record as defined and approved by NWP-NWL vehicle insurance carrier.

Experience

  • Minimum 1 year of experience required:
    • Anatomic Pathology Laboratory
    • Proficient use of histology machines, tools and maintenance.
